ChatGPT Dot: How to Set Up and Use Your AI Agent

Use fictional notes first. Review any apps already connected to your account and avoid adding new ones for the practice run. An agent's written task instructions are one control; limiting the information and tools it can reach gives you another.

After setup, open Settings → Personalization, then Custom rules under Permissions. Select Add, describe the action, choose Ask before taking action, and save with Add rule. For this exercise, our recommended limits are simple: allow a reply in the conversation and keep sending, publishing, purchases, and changes to source records outside the task.

Write those limits in the task prompt, then inspect the product's permission settings. App permissions control when ChatGPT asks; they do not give an app access it lacks. Review the account and workspace rules that apply to each connection. App permission guide

A request to draft an email should remain a drafting task. Check the recipient, content, and timing yourself before authorizing a send.

The notes describe a fictional website launch. They include a deadline that has passed, a task with no owner, and a discount that still needs approval. You can also paste the file's text when practicing.

Send this prompt:

as the reporting cutoff, regardless of the actual date.

The fixed reporting date makes the test repeatable after publication. It keeps a later run from treating every sample task as overdue.

A clear task, source list, and output format also give you specific things to correct when the answer falls short. OpenAI recommends this kind of clear, specific prompting and revision. Prompting guidance

Check the facts before the writing style.

The first brief should use October 9 as the approved launch date. It should show Ava as the copy owner and Noah as the signup-form-check owner. Their deadlines have passed at the simulated reporting time, but the notes do not confirm whether either person finished.

The customer quote needs an owner. Its deadline falls on the reporting date, with no exact time. The 15% discount remains a proposal.

Do not accept a brief that invents an owner, announces the discount, or says someone definitely missed a task simply because the notes lack a completion update.

Use the source labels to check the answer. For example, 01-project-notes.txt [P4] supports the quote task and its missing owner. Ask for a correction when a sentence has no support.

Attach 02-approved-update.txt to the same conversation. This file changes the launch date, confirms completed work, and assigns the quote task.

Send:

Use 02-approved-update.txt together with the original notes to revise
the morning brief. Keep the same simulated reporting cutoff.

Apply each explicit correction. Keep facts that the update does not
change. Add a short "What changed" section with source references.
Remove completed work from suggested follow-ups. Preserve uncertainty
where no completion report exists. Keep the discount under decisions
needed. Do not carry forward a replaced deadline as the current one.

Keep the revised brief under 300 words. Reply here only. Do not send,
publish, change records, spend money, or create a schedule.

These are expected facts from the sample files, not measured product results. Priority order can vary. The dates, owners, and approval states should match.

Save both answers. A smooth first response tells you little about whether the agent handles later changes. Repeat the test with a missing file and an unresolved date conflict before adding a recurring task.

Move to a source your team permits you to use, such as one project document. Add a calendar only when the brief needs meeting information.

In ChatGPT, open Settings → Plugins, choose the relevant app, and review the connection. Complete any required provider sign-in using the intended account. Available apps and actions depend on the account and workspace. Connected-app setup

Dot can review connected information proactively and form memories. This background research uses read-only tools: it cannot send messages, edit connected content, or control your browser or computer. Before connecting a work account, check your organization's data policy. A prompt that names one document does not, by itself, reduce the access granted to the connection. Review the access screen and use the narrowest suitable account or source scope available. App permissions

Run a one-off brief before scheduling. Replace the brackets here:

Keep private calendars and unrelated folders out of this task. If a
source is missing, inaccessible, or appears stale, say which one and
explain what you cannot verify. Do not interpret missing data as proof
that no work is due. Separate your suggestions from recorded commitments.

Run once and reply here. Do not schedule, send, edit, delete, or purchase.

Delete the calendar lines when using project notes alone. Check that the result refers to the intended account and current source. A polished summary of an old document still needs fixing.

Read fresh source data each run. Do not reuse the fictional practice
files. Show the reporting date, source links, and when you checked them.

Keep sending, calendar changes, source edits, and purchases outside this
task. Report missing or stale inputs. Ask when you need a judgment.
Deliver the brief here for my review.

Confirm the task name, source access, time zone, next run, and repeat
schedule. State clearly if you cannot create the schedule.

Use a time zone such as America/New_York or Europe/London. Then inspect the saved task. Check its next run and sources yourself rather than relying on the wording of the reply.

Review the first scheduled result before making it part of your routine. Track wrong facts, missing updates, and time spent checking it. Those observations will tell you whether the workflow helps.
